1. Introduction
CalcuMentor ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and website (collectively, the "Service").
By using CalcuMentor, you agree to the collection and use of information in accordance with this policy. If you do not agree with our policies and practices, please do not use our Service.
2. Information We Collect
2.1 Personal Information
When you use CalcuMentor, we may collect:
- Account Information: Email address, name, and profile photo (via Google Sign-In or Apple Sign-In)
- Payment Information: Processed securely by Apple for iOS in-app purchases. We do not store credit card details on our servers
- User-Generated Content: Handwritten work, typed responses, and problem-solving attempts
2.2 Usage Data
We automatically collect information about how you interact with our Service:
- Problem attempts, completion rates, and time spent on problems
- AI tutoring conversation history
- Course enrollment and progress data
- AI usage counts and limited anti-abuse metering records
- Device information, IP address, and browser type
- Error logs and crash reports (via Sentry)
Before sign-in, we use the birth month and year you enter only to determine whether the account is eligible for this 13+ consumer service. You can review and correct the entered month and year before they are evaluated. For eligible users, those values may remain temporarily on that device until account setup records the eligibility result, after which they are removed. We retain the eligibility result and consent-policy versions for audit purposes, not the birth month or year itself. If a confirmed date is ineligible, we discard the date and keep only a temporary 24-hour device-level retry cooldown.
2.3 Student Work Data
For educational purposes, we collect and store:
- Images or canvas drawings you submit for handwriting recognition or tutoring
- Recognized text and LaTeX derived from handwriting
- AI-generated feedback and tutoring responses
- Analytics on problem-solving strategies and misconceptions
Student images are transmitted for the requested recognition, tutoring, and safety checks. CalcuMentor does not retain raw tutor canvas images by default after processing. We retain recognized text, attempts, and feedback with your account. Files you explicitly save from Scratchpad are stored in private object storage until you delete the file or your account.
3. How We Use Your Information
We use the collected information to:
- Provide personalized AI tutoring and evaluate your mathematical work
- Track your learning progress and generate analytics
- Process payments and manage course access
- Send important updates about your account or courses
- Improve service quality using reviewed, de-identified, or aggregated information where appropriate; personalized student work is not placed in the cross-user tutor-response cache
- Detect and prevent fraud or abuse
- Comply with legal obligations

5. Data Sharing and Disclosure
We do not sell your personal information. We may share your data only in these situations:
- With your teacher: If you join a class, your teacher can view your progress, attempts, and analytics
- Service providers: Contracted vendors that provide authentication, AI/OCR processing, image safety screening, private hosting, billing, and error monitoring
- Legal requirements: When required by law or to protect our rights
- Business transfers: In connection with a merger, acquisition, or sale of assets
6. Data Retention
We retain your account profile, recognized handwriting text, attempts, progress, and files you explicitly save while your account is active. Raw tutor canvas images are not retained by default after processing. Tutor conversation rows and content-free AI operational traces are retained for 30 days. Temporary processing copies become eligible for deletion after 72 hours. Retention cleanup runs at least every six hours.
You can delete your account in the app. Account deletion removes your profile, consent records, conversations, recognized work, attempts, progress, personalized review artifacts, and saved documents from our active systems. It also removes account-specific local records from the device where you request deletion. Shared tutor answers that contain no student work or identity may remain because they are not personal records. We may retain limited records that are necessary for legal compliance, security, fraud prevention, or abuse prevention.
For example, to prevent repeated free AI credit abuse, we may retain a non-profile anti-abuse metering record derived from your account email using a one-way keyed hash. This record is used only to enforce free-tier usage limits and does not contain your email, name, student work, conversations, course progress, or profile details.
7. Your Rights
Depending on your location, you may have the following rights:
- Access: Request a copy of your personal data
- Correction: Update inaccurate or incomplete information
- Deletion: Request deletion of your account and data
- Portability: Receive your data in a machine-readable format
- Opt-out: Unsubscribe from marketing communications

8. Children's Privacy
CalcuMentor's consumer Service is intended only for users age 13 and older. We do not knowingly permit account creation or collect personal information through an account from children under 13. Users under 18 must have permission from a parent or legal guardian.
If you believe a child under 13 created an account or provided personal information, contact us at privacy@calcumentor.com so we can investigate and delete it. A separate school-managed or parent-managed offering, if introduced, will use its own consent and data-processing flow before under-13 access is enabled.
When we reliably learn that an account belongs to a child under 13, we block further account access and delete the associated personal information unless a legally compliant parental-consent flow applies.
9. Data Security
We implement industry-standard security measures to protect your data, including:
- Encryption in transit (HTTPS/TLS)
- Secure authentication via Firebase
- Regular security audits and monitoring
- Access controls and logging
However, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security.
10. International Data Transfers
Your information may be transferred to and processed in countries other than your own. We ensure appropriate safeguards are in place for such transfers, including standard contractual clauses approved by regulatory authorities.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy on this page and updating the "Last updated" date.
Your continued use of CalcuMentor after changes become effective constitutes acceptance of the revised policy.
